Promotions Coordinator, Department of Music

Manages departmental marketing and communications, including campaigns, web, email, social media, print, graphics, budgets, and student assistants. Requires a bachelor's degree, 3+ years of relevant experience, U.S. work authorization, and a background check if required.

The Music Department in the College and Graduate School of Arts and Sciences at the University of Virginia seeks a collaborative, creative, and organized communications professional to strengthen its visibility and connect audiences with its programs, events, and opportunities. This position manages departmental marketing and communications, ensuring a coordinated and consistent approach to engaging students, faculty, staff, and the broader community.

Working closely with departmental leadership, faculty, and staff, the Promotions Coordinator translates departmental priorities into clear messaging and effective promotion. The role combines strategic thinking with hands-on work, including developing campaigns, creating content and graphics, maintaining the website, and establishing tools that make everyday communications more effective. Once clear workflows and systems are established with demonstrated success in the Music department, the Promotions Coordinator role may expand to include a broader portfolio across the Arts.

Who You Are

You are a thoughtful communicator who pairs creativity with organization and follow-through. You write and edit well, bring initiative and sound judgment, and turn ideas into practical plans and finished products.

You build strong relationships, clarify needs, and develop effective communications for different audiences. You manage competing projects and deadlines, adapt when priorities change, and use technology confidently to manage content, track budgets, and assess results. You also provide clear direction and constructive feedback to student and part-time workers.

Your approach reflects the Department's CASA values: Collaborative, Accountable, Supportive, and Adaptable. You take ownership of your work, support colleagues' success, and approach challenges with flexibility and a focus on solutions.

Communications and Creative Content
  • Manage communications across email, web, social media, and print, including announcements, event promotions, program information, and departmental updates.
  • Maintain accurate, current, and engaging website content.
  • Create and coordinate departmental graphics and promotional materials, ensuring alignment with University and College brand standards.
  • Develop and maintain reusable templates, preferred language, consistent email signatures, and organized creative assets.

Project, Budget, and Team Coordination
  • Maintain a communications calendar and coordinate deadlines, content review, production, and contributions from departmental partners.
  • Manage the promotions budget and resources, track expenses, and keep leadership informed of needs and commitments.
  • Supervise student promotion assistants through clear assignments, expectations, and feedback.
  • Manage competing requests and improve tools and workflows to support timely, consistent communications.
  • Track audience engagement, promotional results, and communications trends using appropriate technology.
