Office Assistant-Radiology

Daily clerical and patient-support work, including check-in, scheduling, calls, record maintenance, and coordinating with staff in reception, tech areas, and clinics. Requires a high school diploma or GED; minimal or no prior experience, with EPIC and MEDITECH preferred.

Summary

Position Purpose:

Responsible for performing daily clerical support tasks that are routine and repetitive in nature such as but not limited to answering the telephone, providing excelled customer service, order entry, photocopying, record maintenance, reminder phone calls, and scheduling and other general office duties. Maintains a professional demeanor with both internal and external customers.

WHAT YOU WILL DO:

  • Greet patients and visitors in a professional and friendly manner using the AIDET approach (Acknowledge, Introduce, Duration, Explanation, Thank You).
  • Direct patients to appropriate waiting areas after check-in. Distribute and assist with completing questionnaires required for specific imaging modalities or screenings.
  • Obtain corrected referral orders from providers to ensure proper exam orders are entered in EPIC (Hospital Information System) prior to the patient’s scheduled appointment.
  • Screen and manage incoming calls, routine messages, and service requests. Communicate with physicians, residents, nurses, and other staff to update patient status and coordinate care.Report critical findings as necessary.
  • Upload electronic images from external institutions and scan reports into the appropriate system, linking them to the patient's chart.
  • Reproduce imaging studies on CD for all film requests and ensure proper consent is obtained for the release of medical records, following state regulations.​​​​​​
  • Maintain and organize patient documentation.
  • Confirm patient appointments by phone at least two days before the scheduled visit. Cancel or reschedule appointments as needed via EPIC or by coordinating with Centralized Scheduling.
  • Perform general office duties, including monitoring reception area supplies and notifying the supervisor of inventory needs.
  • Print schedules and requisitions for the assigned area. Monitor patient flow within the department and place transportation requests for outpatients and inpatients as needed.
  • Fax or print reports to physicians’ offices upon request to ensure continuity of care.
  • Assist technologists with patient flow coordination, including preparing exam rooms, retrieving patients, assisting with gown changes, placing transport requests, monitoring patient condition in the department, and answering general inquiries related to appointments.
  • Perform other duties as assigned in the following areas: Crown Reception Desk and Tech Areas, Ultrasound Reception Desk, Reading Room, File Room, La Villita and Lawndale clinics

Knowledge and Skills:

Experience in EPIC and MEDITECH software systems preferred.
