Executive Assistant

Support Leadership | Drive Organization | Strengthen Agency Operations

At Texas Farm Bureau Insurance, we are seeking ahighly driven, detail-oriented, and exceptionally organized Executive Assistant to support agency leadership and help keep operations running smoothly. The Executive Assistant plays a key role in supporting leadership, coordinating communication, managing systems, and helping ensure agents and clients receive a high level of service. This position requires professionalism, adaptability, and a strong sense of ownership.


Position Overview

This role provides direct administrative, operational, and client-support assistance to leadership and agency teams. The ideal candidateis comfortable balancing multiple priorities, working inside CRM systems,utilizing AI tools, and maintaining a high level of organization and accuracy across all responsibilities.

This is a part-time role which will include 30 hours/week. 


Key Responsibilities

Administrative & Operational Support

·      Provide direct support to leadership with scheduling, coordination, and task management

·      Maintain organization across calendars,communications, and internal processes

·      Assist with reporting, tracking, and follow-through on agency initiatives

·      Help streamline office operations and improve workflow efficiency

 CRM & Technology Management

·      Work daily within CRM systems to manage clientand prospect data

·      Assist with data entry, tracking activity, and maintaining accurate records

·      Utilize Copilot and AI tools to improve productivity, organization, and communication

·      Support agents and leadership with system updates and process consistency

 Communication & Client Interaction

·      Maintain a professional and confident presence on the phone and in person

·      Communicate effectively with leadership, agents,clients, and internal partners

·      Assist with client service needs, follow-ups,and coordination when needed

·      Help ensure a positive, high-quality client experience

 Team & Culture Support

·      Act as a dependable team player who supports agency needs wherever necessary

·      Assist with special projects, events, and internal initiatives

·      Adapt quickly to changing priorities and organizational needs


Required Qualifications

·      Active General Lines Property & Casualty License (required and/or to be obtained within 60 days)

·      Strong organizational skills and extreme attention to detail

·      Ability to multitask and stay focused in a fast-paced environment

·      Experience working with CRM systems and digital tools

·      Comfort using AI tools such as Copilot to support productivity

·      Excellent written and verbal communication skills

·      Professional demeanor with strong phone etiquette and interpersonal presence
