We are seeking a detail-oriented Residential Escrow Assistant to support escrow officers in processing and closing residential real estate transactions. The role focuses on preparing and maintaining escrow files, coordinating with lenders, title companies, real estate agents, and clients, and ensuring timely, compliant closings. The ideal candidate has hands-on residential escrow experience and strong communication and organizational skills.

Position Overview
We are seeking a detail-oriented Residential Escrow Assistant to support escrow officers in processing and closing residential real estate transactions. The role focuses on preparing and maintaining escrow files, coordinating with lenders, title companies, real estate agents, and clients, and ensuring timely, compliant closings. The ideal candidate has hands-on residential escrow experience and strong communication and organizational skills.
Key Responsibilities
- Open, organize, and maintain residential escrow files from receipt to closing, ensuring all documentation is complete and accurate.
- Communicate with buyers, sellers, real estate agents, lenders, title companies, and other parties to gather required documents and provide status updates.
- Prepare and review closing documents, HUD-1/ALTA settlement statements, escrow instructions, and related paperwork.
- Order title work, request payoffs, prepare and track prorations, taxes, and recording instructions.
- Schedule signings, coordinate notaries or mobile closings, verify signer identification, and manage signing logistics.
- Track and clear conditions and outstanding items, follow up on contingencies, and escalate issues to escrow officers as needed.
- Prepare funds for disbursement, verify wire/escrow deposits, and assist with final closing reconciliations.
- Ensure compliance with company policies and escrow regulations; maintain accurate records and audit-ready files.
- Use escrow software and office applications to update files, generate reports, and manage transaction checklists.
- Provide general administrative support to the escrow team, including answering phones, responding to emails, and maintaining calendars.
- Minimum 1-3 years of hands-on experience as an Escrow Assistant with a primary focus on residential transactions (required).
- Working knowledge of residential escrow procedures, title processes, and closing documentation.
- Strong written and verbal communication skills for interacting with clients and transaction partners.
- Excellent attention to detail, organizational skills, and ability to manage multiple files and deadlines.
- Proficiency with escrow software (e.g., RamQuest, Qualia, SoftPro or similar) and MS Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team in a fast-paced environment and pass any required background checks.
- High school diploma or equivalent required; associate degree or industry certifications (e.g., escrow licensing where applicable) preferred.
- Nice-to-have: experience or familiarity with Escrow, Title, Real Estate, Closing processes, and handling Transactions in residential real estate.
