Pre-Litigation Case Manager & Medical Coordinator

Position Overview
Responsible for managing pre-litigation personal injury caseloads by coordinating medical care, compiling and organizing medical records and billing, communicating with clients and providers, and preparing files for potential litigation. The role ensures timely treatment and documentation, optimizes billing and records retrieval, and supports attorneys with accurate, well-organized pre-litigation packages to maximize case resolution and value.

Key Responsibilities

  • Manage a caseload of pre-litigation personal injury matters from intake through resolution or referral to litigation, ensuring timely milestones and accurate documentation.
  • Coordinate and schedule medical treatment and evaluations with providers, track appointment compliance, and follow up on care plans to support client recovery and case needs.
  • Obtain, review, and organize medical records, bills, and supporting documentation; ensure records are complete, chronologically compiled, and coded appropriately for evaluation.
  • Request, reconcile, and analyze medical billing and lien information; work with providers and billing departments to resolve discrepancies and negotiate reductions when appropriate.
  • Prepare detailed medical chronologies, summaries, and exhibits for attorneys, including treatment timelines, outstanding bills, and recommended next steps for settlement or litigation.
  • Serve as primary client contact for medical-related questions, provide case updates, and maintain empathetic, professional communication throughout the pre-litigation process.
  • Collaborate with attorneys, paralegals, and external vendors to assemble pre-litigation packages, ensure compliance with deadlines, and support strategic decision-making.
  • Maintain accurate case management entries, document all communications and activities, and monitor critical deadlines and statute of limitations.
  • Develop and maintain relationships with medical providers, billers, and records custodians to streamline records retrieval and billing processes.
  • Identify case issues that may require referral to litigation and coordinate a smooth handoff to litigation teams with thorough documentation.

Qualifications

  • Bachelor's degree; relevant case management certifications a plus.
  • 2+ years of experience in pre-litigation case management, personal injury case coordination, medical records management, or related roles within law firms
  • Strong knowledge of medical billing, records retrieval processes, and common billing codes; experience negotiating medical liens and bill reductions preferred.
  • Familiarity with case management systems, document management software, and legal practice management tools; proficiency with Microsoft Office suite.
  • Excellent organizational skills with attention to detail, ability to manage multiple cases and deadlines, and strong problem-solving abilities.
  • Clear, professional verbal and written communication skills; experience interacting with clients, medical providers, and legal teams.
  • Ability to work independently and collaboratively in a fast-paced environment, maintain confidentiality, and exercise sound judgment.
  • Demonstrated understanding of pre-litigation workflows, statute of limitations considerations, and the litigation referral process.
