Position Overview
We are seeking a professional, detail-oriented Legal Assistant to provide high-quality administrative and substantive support to attorneys across commercial, bankruptcy, and litigation matters. The Legal Assistant will manage case files, prepare and file court documents, coordinate with clients and third parties, and help ensure deadlines and court requirements are met. This role is essential to efficient case management and client service.
Key Responsibilities
- Provide day-to-day administrative and substantive support to attorneys, including drafting correspondence, pleadings, motions, affidavits, and discovery responses.
- Manage case files and maintain organized electronic and physical document repositories, ensuring all materials are accurately labeled and retrievable.
- Prepare and file court documents using e-filing systems (e.g., CM/ECF) and ensure timely service on parties and courts.
- Monitor dockets and calendar deadlines, including court appearances, filing dates, and statute of limitations; coordinate calendars and travel arrangements for attorneys.
- Assist with discovery management: organize document productions, manage privilege logs, coordinate with vendors for scanning and document hosting, and support review processes.
- Support bankruptcy case administration, including preparing creditor matrices, claims tracking, schedules, and coordinating with trustees and creditors counsel.
- Provide litigation support by preparing trial binders, exhibits, witness materials, and coordinating witnesses and expert logistics.
- Conduct basic legal research and factual investigations to gather background information and summarize findings for attorneys.
- Maintain client communications on routine matters, intake calls, scheduling, and status updates while escalating substantive issues to attorneys.
- Track time and prepare billing entries, assist with fee requests and expense reports, and support client invoicing processes.
- Ensure compliance with confidentiality, ethics, and firm policies while handling sensitive client information.
- Train and mentor junior staff or temporary assistants when needed and coordinate with outside vendors and service providers.
Qualifications
- Associate degree, paralegal certificate, or equivalent legal assistant training; Bachelors degree preferred.
- 2+ years of experience as a Legal Assistant or Paralegal with exposure to commercial litigation, bankruptcy, etc.
- Proven experience with court filing systems (CM/ECF), e-filing, document management systems, and common legal software.
- Strong written and verbal communication skills, with excellent grammar, proofreading, and document drafting ability.
- Demonstrated organizational skills, attention to detail, and ability to manage multiple matters and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office (Word, Excel, Outlook), Adobe Acrobat, and familiarity with document review platforms and timekeeping/billing software.
- Ability to work independently and as part of a team, exercise sound judgment, and maintain strict confidentiality and professional ethics.
- Paralegal certification (e.g., NALA, NFPA) is a plus.
