Job description
You've quietly held companies together without ever needing the spotlight. Now you'll run the show that makes everything else possible.
At Trilogy, we build AI-first technology at warp speed — and our Austin HQ needs to run like a launchpad. You'll lead the physical operations that keep our team humming: managing vendors, solving infrastructure issues before anyone notices, running flawless events, and anticipating what we'll need before we do. You won't just keep the trains on time — you'll rewire the track to move faster.
This role isn't for paper-pushers or people waiting for instructions. It's for the operations powerhouse who gets energy from chaos, takes pride in bringing order, and thrives in a high-stakes environment where expectations are high and tolerance for dysfunction is zero. If you're the person who always has a Plan B (and C), and you love being the invisible force that keeps everything running — this is your stage.
What you will be doing
- Own all office systems and infrastructure to eliminate downtime and bottlenecks
- Lead planning and flawless execution of internal summits, team offsites, and industry events like SXSW
- Manage vendor relationships with speed and authority — from janitorial to IT to catering
- Build simple but powerful systems (trackers, dashboards, workflows) to maintain visibility, control, and performance
- Act as the go-to problem solver for executives and teams — resolving requests before they become problems
What you will NOT be doing
- Acting as a receptionist or office assistant — this is high-leverage, strategic operations work
- Waiting around for tasks — you're expected to see what's needed and make it happen
- Operating in a slow, bureaucratic environment — Trilogy moves fast, and so will you
- Managing via sticky notes, memory, or chaos — you'll systematize everything
Key Responsibilities
Drive Trilogy's ability to scale at speed by eliminating operational friction and delivering world-class workplace execution.
Candidate Requirements
- Located in or willing to relocate to Austin, TX and work in-person daily
- Experience managing physical operations, logistics, or high-stakes environments — this might come from events, hospitality, healthcare, education, retail, or construction
- Proven ability to remain calm, focused, and highly effective under pressure
- Confident communicator with strong executive presence — can hold your own in any room
- Fluent in using spreadsheets and digital tools to track vendors, budgets, timelines, and ops workflows
- Systems thinker who builds structures instead of relying on memory or improvisation
- Proactive by nature with a reputation for being five steps ahead
- Authorized to work in the US without visa sponsorship
